Bank reconciliation may not be the most exciting task on your to-do list, but it’s one of the most important. QuickBooks Online makes it easier than ever to ensure your books match your bank statements, helping you maintain accurate financial records.
If you’ve been diligently importing transactions from your bank into QuickBooks Online (and you should be), you might assume everything is perfectly aligned. However, errors, missing transactions, or duplicate entries can creep in, leading to discrepancies that affect your financial reports and tax filings.
Bank reconciliation is the process of comparing your QuickBooks Online records with your actual bank statements to catch and correct any discrepancies. When done regularly, it keeps your books accurate and helps prevent financial surprises.
Getting Started with Bank Reconciliation
To begin, navigate to Settings | Reconcile in QuickBooks Online. Select the bank or credit card account you want to reconcile. Enter the statement’s Ending Balance and the statement date, then click Start Reconciling.
Once you’re in the reconciliation window, you’ll see a list of transactions recorded in QuickBooks Online. Your goal is to match each one with a corresponding transaction from your bank statement.
Matching Transactions
Look at each deposit, withdrawal, and expense on your bank statement and compare them to the transactions in QuickBooks Online. If they match, check the box next to the transaction. Repeat this process for all transactions.
What if you find a transaction in QuickBooks Online that doesn’t appear on your bank statement? It could be an error or an entry that hasn’t cleared yet. On the other hand, if your bank statement shows a transaction that isn’t in QuickBooks Online, you may need to add it manually.
Handling Discrepancies
If the difference between your statement balance and QuickBooks Online balance is zero, congratulations! Your accounts are reconciled. If not, here’s what to check:
- Duplicate transactions – Delete any entries mistakenly recorded twice.
- Missing transactions – Manually add any missing deposits or expenses.
- Incorrect amounts – Edit any transactions where the amounts don’t match the bank statement.
- Bank errors – Occasionally, banks make mistakes. Contact your bank if you find an unexplainable discrepancy.
Finalizing the Reconciliation
Once everything checks out, click Finish Now to complete the reconciliation. QuickBooks Online will generate a reconciliation report that you can review and save for your records.
Keep It Consistent
Bank reconciliation is most effective when done regularly. Set a schedule—monthly at a minimum—to ensure your books stay clean and your financial data remains trustworthy.
